Overall responsibility

Departmental assistant is responsible for providing technical level support to the departmental program operations and for coordinating various activities with many staffs and other county clients, vendors and offices.                                                             

Key areas of responsibility

  • They will have to perform fairly complex, technical level tasks that include gathering, compiling, evaluating & reporting administrative information or program that are departmental specific.
  • They manage department specific databases to ensure quality control of spreadsheet information or database.
  • They troubleshoot software difficulties and train the users.
  • They coordinate program areas focusing on segments of operations or administrative support activities of the department like accounting, personnel services, building repair, office automation and purchasing.
  • They assist in developing budget documents by estimating the ongoing or regular revenue and expenditures on the basis of reference materials review.
  • They research the cost of specific goods.
  • They perform added technical financial support in accounting audit research and billing for services.
  • They respond to public enquiries related to program procedures, departmental operations, available services and accounts receivable.
  •  They will have to sometimes attend meetings on the behalf of higher officials such as professional, management or technical staffs.
  • They at times serve as the site coordinator for County and department wide programs and projects.
  • They are supposed to supervise clerical employees.

Qualifications

  • Use of computer keyboards, peripheral equipment
  • Use of standard office automation software
  • English usage & grammar.
  • Knowledge of data compilation.
